1. Who we are

This Privacy Policy explains how ICEWORK BUSINESS CENTER L.L.C (“Icework”, “we”, “us” or “our”) collects and uses personal data when you visit icework.ae, contact us, book a viewing, request workspace information, or use our services.

Icework is a Dubai limited liability company (single owner), licensed by the Dubai Department of Economy and Tourism under commercial licence no. 1520855. Our business address is Offices 1601-1612, 16th Floor, Bayswater Tower, 18 Marasi Drive, Business Bay, Dubai, United Arab Emirates.

2. Scope of this Policy

This Policy applies to personal data processed through our website and in connection with enquiries, viewings, workspace bookings, memberships, business-address services, meeting-room services and related customer support. It does not govern third-party websites or services that have their own privacy notices.

3. Personal data we collect

3.1 Information you provide

Contact details, including your name, telephone number, email address and preferred contact channel.
Enquiry details, including your comments, workspace requirements, team size, move-in timing and viewing preferences.
Customer and contract information needed to prepare, enter into and administer a service agreement, including company details, authorised representatives, billing details and correspondence.
Identity, eligibility or compliance documents where required for a requested service or by applicable law.
Communications and feedback you send to us through email, telephone, WhatsApp, social media or in person.

3.2 Information collected automatically

Technical data such as IP address, browser and device type, operating system, approximate location, referring page, pages viewed, date and time of access, and server or security logs.
Cookie and similar-technology data used to operate the site, remember preferences, understand performance and display embedded services.
Interaction data generated when you use embedded maps, widgets, links or messaging tools.

3.3 Information from third parties

We may receive information from a person acting for your organisation, referral partners, public registers, payment or compliance providers, social media platforms, WhatsApp/Meta services, or other parties you ask to communicate with us. We collect only what is relevant for the stated purpose.

4. Why and on what basis we use personal data

To respond to enquiries, provide quotations, check availability and arrange viewings or bookings, at your request, to take steps before a contract, or with your consent where required.
To enter into and perform contracts, provide workspace and support services, administer access, invoices, payments and customer communications, because processing is necessary to perform our agreement.
To verify eligibility, prevent fraud, keep records, respond to authorities and comply with legal, regulatory, tax, accounting and safety obligations, because processing is required by applicable law.
To secure, troubleshoot and improve our website and services, manage capacity, and protect our rights, users and premises, where necessary for our legitimate interests and permitted by law.
To send marketing or promotional communications, only where permitted by law and, where required, with your consent. You may opt out at any time.

Where we rely on consent, you may withdraw it at any time without affecting processing already carried out lawfully. If information is required to enter into or perform a contract, failure to provide it may prevent us from providing the requested service.

WhatsApp: if you choose a WhatsApp link, Meta/WhatsApp will process your account, device and message data under its own terms. Do not send sensitive documents through WhatsApp unless we specifically request a secure method.
YourGood widget: the website loads a third-party widget that may process technical and interaction data to provide its functionality.
WordPress and infrastructure providers: hosting, security, content delivery, email and website-support suppliers may process limited data on our instructions.

You can control cookies through the cookie controls made available on the site and through your browser settings. Blocking some technologies may affect site functionality. Third-party providers determine the lifespan of their own cookies and may process data outside the UAE.

6. When we share personal data

Google, Meta/WhatsApp, YourGood and other services you choose to use or that are embedded in the website;

8. How long we keep personal data

enquiry data is normally kept for up to 24 months after the last meaningful interaction, unless you become a customer or ask us to delete it sooner;

We may retain anonymised or aggregated information that no longer identifies you.

11. Marketing communications

You may stop promotional messages at any time by using the unsubscribe method in the message, replying with an opt-out request, or contacting info@icework.ae. Service messages about an enquiry, booking, contract, payment, safety or access are not marketing and may continue where necessary.

12. Children

Our website and services are intended for business users and are not directed to children. We do not knowingly collect personal data from anyone under 18 through the website. If you believe a child has provided personal data, please contact us so that we can review and, where appropriate, delete it.

13. External links

Our website may link to third-party sites and social platforms. We are not responsible for their privacy practices. Review the privacy notice of each service before providing personal data.
